Privacy Policy
1. Who we are and what this covers
Vigil is a Discord bot operated by Kevin Jackson ("we," "us," or "the operator"). This policy explains what information Vigil collects in Discord servers, why it is collected, how long it is kept, and how you can control it. It covers the Vigil bot and this website. Discord handles information under its own privacy policy.
2. Information Vigil collects
Vigil collects information only in servers where a server administrator has turned on at least one log category. Vigil does not collect direct messages.
- Messages: message ID, channel ID, author user ID and username, message text, attachment file names, and the time the message was sent. Vigil does not download or store attachment files.
- Edits and deletions: the previous and new text of edited messages, and whether a stored message was deleted, with the time of each change.
- Name changes: username, display name, and server nickname changes, with the before and after values and the time of the change.
- Profile pictures: the fact that a global or server profile picture changed, and the time. Vigil does not copy or store the images. Log entries link to images hosted by Discord.
- Voice activity: user ID, the names and IDs of voice channels joined, left, or moved between, and the time. Vigil does not record audio.
- Server settings: the server ID, the IDs of the log channels and category, which log categories are enabled, and the retention period.
- Support reports: if someone uses the /report command, the summary, details, and optional steps they enter, along with their username, user ID, server name, and server ID. These are posted to a support channel operated by us.
3. How we use this information
We use this information to:
- Post log entries in the log channels a server administrator has set up.
- Answer member lookup requests from people with the Moderate Members permission in the server where the request is made.
- Process deletion requests and maintain the service.
- Review and respond to reports sent through /report.
We do not sell this information, use it for advertising, build profiles of people across servers, or share it with third parties, except as described in this policy or as required by law.
4. Who can access it
- Server administrators can change Vigil's settings, view the log channels, and run /purgeuser and /purgedata. Log channels are visible only to administrators and any role they choose.
- Members with the Moderate Members permission can use the member lookup command to view a member's stored history in that server.
- The operator can access the stored data because Vigil runs on a personal computer that the operator controls. Access is limited to operating the service, responding to requests, fixing problems, and complying with the law.
- Discord receives the information needed to deliver messages and commands, as described in its own policies.
- Cloudflare hosts this website. When you visit it, Cloudflare may process standard connection information such as your IP address and browser details.
5. Where information is stored
Vigil stores its data in a database on a personal computer in the United States. Vigil does not send stored logs to any cloud storage or analytics service.
6. How long we keep it
- Stored messages, edits, deletions, and activity events are kept for the retention period the server administrator chooses. The default is 30 days, and administrators can choose any period from 1 to 90 days. Expired data is deleted automatically, with checks at least once an hour.
- Administrators can delete all stored data about one member with /purgeuser, or all stored data for a server with /purgedata, at any time. The /disable command stops new collection but does not delete existing data, so use /purgedata for that.
- When Vigil is removed from a server, its stored data for that server is deleted. If Vigil is offline at the time of removal, the data is deleted when the retention period ends.
- Support reports are kept in the support channel until we delete them once they are no longer needed to resolve the issue.
7. Security
We take reasonable steps to protect stored information. The database is kept on a password protected personal computer. Vigil does not accept inbound network connections for its data, and access is limited to the operator. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.
8. Your choices and rights
If you are a member of a server that uses Vigil, you can:
- Ask a server administrator or moderator to delete your data with /purgeuser. A moderator can also use the member lookup command to show you what is stored.
- Contact us at the address below. Include the server name, your user ID, and what you want us to do. We will respond within 30 days.
Depending on where you live, you may have additional rights to access, correct, delete, or obtain a copy of your personal information, or to object to certain processing. To exercise these rights, contact us. We may need to verify your identity before acting on a request, and we will not treat you differently for using your rights.
9. Children
Discord requires users to be at least 13 years old. Vigil is not directed to children under 13, and we do not knowingly collect information from them. If you believe information about a child under 13 has been stored, contact us and we will delete it.
10. Changes to this policy
We may update this policy. Material changes will be posted on this page before they take effect, and the effective date at the top of the page will be updated.
